Regulations of DIGITAL MEDIA FORUM Krynica 2024 Conference


§1

Definitions


The meaning of the terms used in these Regulations (hereinafter: "Regulations") is as follows:

Conference - meeting (training, seminars, workshops) organized by Gama International simple joint stock company in Krynica - Zdrój, on January 1-13,2024
Organizer -Gama International simple joint-stock company with its registered office in Warsaw 00-029, Nowy Świat 33/13, NIP: 5252914966
Participant - a person participating in the Conference both in the open and closed part, actively (Speaker) or passively (Listener), or a person delegated by a natural or legal person to participate in the Conference.
Application - actions taken by the Participant to register for the Conference.
Registration Form – effectively delivered to the Conference Organizer in electronic or paper form, according to the template published on the Conference website.
Confirmation of participation - a notification sent by e-mail by the Organizer to the Participant in response to the application.
Fortuitous events - a future event, possible but uncertain, independent only of the Organizer, including but not limited to events such as: flood; a fire in the building where the conference is to be held; military conflict; street riots; failure in the building in which the conference is to be held, such as: failure of the electrical, water and sewage, gas, heating, air-conditioning, fire or other installations, the occurrence of which threatens the life or health of people staying in such a building;; a road, air or railway disaster that makes it impossible to get to the place; holding the conference, as well as its safe conduct; other events, the occurrence of which makes it impossible to organize the conference according to the program or threatens the life or health of the conference Participant if it is held.

§2

General Provisions


DIGITAL MEDIA FORUM Krynica 2024 conference will be held at the Krynica-Zdrój Main Pump Room and in the area and in the surrounding buildings on January 10-13, 2024.
The organizer of the Conference is Gama International simple joint-stock company.
As part of the Conference, there will be lectures, panel discussions, scientific, didactic and educational sessions.
The provisions of these Regulations are an integral part of the application for participation in the Conference and apply to each Participant.

§3

Rules of Participation in the Conference


Participation in the Conference is, as a rule, payable, unless the Participant during registration gives consent to the processing of his personal data for marketing purposes. In such a situation, the Participant is granted a 100% discount and his/her participation in the Conference is free of charge. Otherwise, the Participant has the option to purchase a ticket.
The condition for participation in the Conference is the fulfillment of the following provisions jointly:
a) effective submission of the application, i.e. completion of the Registration Form, available on the Conference website (until January 12, 2024);

b) receipt of confirmation of receipt of the application by the Organizer;

c) confirmation of presence on the spot on the day of the beginning of the Conference.

The Organizer has the right not to allow the Participant to participate in the Conference without giving a reason.
The Participant may resign from participation in the Conference or delegate a person other than the registered one.
Participants can be changed until the beginning of the Conference. In such a case, the Applicant is obliged to submit a document clearly stating the fact of authorizing the Participant to participate in the conference. The person delegated as a replacement becomes a Participant and the Participant's rights and obligations apply accordingly.
Resignation from participation requires notification of the Organizer until the beginning of the Conference.
A declaration of resignation from participation in the Conference should be made in writing. In the event of resignation from participation in the Conference, made no later than 30 days before the date of the planned conference, the Participant is entitled to a refund of the entire amount paid. However, if the resignation takes place later, the Participant is entitled to a refund of fifty percent of the amount paid. In the event that the resignation was due to the Participant's bad will or the use of dishonest practices, he is not entitled to a refund of the amount paid in any part.
The Organizer is not liable for damages resulting from entering incorrect data into the registration form by the Registrant.
The Organizer should be informed about any changes to the data required for registration (e-mail address, contact telephone number), both before and after receiving confirmation of registration for the Conference.
The Organizer reserves the right to dispose of the list of Speakers along with additional information such as names of enterprises, firms, companies and other entities that and use it for activities promoting the Conference.
Each registered Participant receives conference materials and an identifier during the Conference. During the Conference, the Participant is obliged to wear the received identifier around the neck or in another equally visible place.
The Organizer reserves the right to apply disciplinary measures to a Participant who violates the law, regulations in force at the Conference venue, safety rules or rules of decent behavior, the Organizer reserves the right to apply disciplinary measures, including exclusion of the Participant from further participation in the conference without refund of the conference fee.
The Participant is obliged to read and comply with the internal regulations in force at the Conference venue, in particular the Regulations for the use of the ICE Kraków Congress Center facility, attached to the Regulations.


§4

Terms of payment


The price list for participation in the Conference, including its (only) paid part, is available on the official website of the Conference, mediaforumkrynica.pl.
The above fee should be paid in accordance with the selected form via a traditional transfer, payments on the website mediaforumkrynica.pl
The price of the fee visible on the Website is given in Polish zlotys (PLN) and includes VAT.
The condition for purchasing a ticket on the mediaforumkrynica.pl website is to pay the fee via online payment or by bank transfer to the bank account number indicated in the payment summary.
A VAT invoice for the payment made is issued at the Customer's request. The invoice will be issued in electronic form and delivered by e-mail to the address indicated by the Customer during the purchase.
The fee paid on the website is not refundable, except in the event of cancellation of the Event, change of date and/or place of the Event by the Organizer.
If the event is canceled or moved to another date, the Organizer sends information about the return process to the e-mail address provided during the purchase. Refunds are processed automatically, the same way the payment was made.


§5

Agenda of the Conference


The Conference takes place on January 10-13, 2024. The detailed program of the Conference will be sent to the Participant at the latest two weeks before the Conference date, by e-mail, unless meeting such deadline is impossible or significantly difficult due to the deadline for Application.
The Organizer reserves the right to change Speakers for reasons beyond its control. In this case, the Participant is not entitled to compensation from the Organizer.


§6

Complaints


Any complaints of the Conference Participant against the Organizer should be submitted in writing by registered letter with acknowledgment of receipt to the address of the Organizer's registered office.
Complaints of the Conference Participant may be submitted in writing no later than within 3 days from the end of the Conference.
After the expiry of the above-mentioned period, no complaints will be considered.


§7

Participant's Responsibility


It is forbidden to film and record any part of the Conference without the Organizer's consent.
The conference will be fully recorded by the Organizer.
Participation in the Conference is tantamount to the transfer to the Organizer of copyrights to recordings and photos, as well as other related rights, including image rights, and consent to their commercial use in the case of:
a) when the Participant is filmed or photographed on the premises;

b) when the Participant voluntarily agrees to be interviewed in front of the camera or posed for a photo.

The Participant bears full responsibility for all materials and information presented by him, including but not limited to: use of the name/logo, advertising, inserts in materials for participants (inserts), banners, roll-ups, presentations, educational materials, advertising materials. In the event that such materials infringe the rights of third parties, in particular copyright and related rights, no claims may be directed against the Organizer, and in the event that they are directed, the Participant is obliged to release the Organizer from liability in this respect.
The Participant bears full financial responsibility for any damage caused by him, both in the premises where any activities related to the Conference are carried out, as well as in places of accommodation.
Meals and drinks may only be consumed in designated areas (cafes, bars, restaurants).


§8

Organizer's responsibility

The Organizer assures that it will make every effort to guarantee the organizational conditions of the Conference as described on the Conference website.
The Organizer sets the agenda of the Conference and reserves the right to change the Conference program, even on the day of the Conference, including the right to change the timetable and the order of speeches.
Program Changes
within the Conference, referred to above, may not constitute the basis for directing financial claims against the Organizer, or any other liability of the Organizer.
If the Conference is not held for reasons beyond the Organiser's control, in particular fortuitous events, the Participant is not entitled to compensation.
The Organizer will provide the Speakers with the equipment necessary to conduct the presentation in the form of a multimedia projector, sound equipment and a laptop with the Windows operating system and Open Office and MS Office office suites.
The Organizer is not responsible for items belonging to the Participant, brought to the Conference area, which may be lost, damaged or stolen.
The Organizer does not insure the Conference Participants for the duration of the Conference and is not liable for it.

§ 9

COVID-19

The provisions of this § do not violate the provisions of other provisions of the Regulations, but constitute a special regulation regarding the procedure during the ongoing state of epidemic or state of epidemic threat (within the meaning of the Act of 5 December 2008 on preventing and combating infections and infectious diseases in humans) related to infection SARS-CoV-2 virus or similar viruses (hereinafter also: "COVID-19 pandemic").
The Participant is obliged to comply with all provisions of generally applicable law related to the COVID-19 Pandemic, issued by the competent authorities (regardless of any doubts as to their hierarchical compliance with higher-order standards) and the Regulations and other regulations and rules in force at the place of the Fair related to the COVID-19 pandemic.
The Participant is obliged to comply with all restrictions related to the issue of vaccinations, tests and other similar restrictions generally applicable on the day of the Fair.
The Participant is obliged to exercise due diligence so as not to expose other Participants to the risk of infection with the SARS-CoV-2 virus or similar viruses, in particular to maintain appropriate protection measures (e.g. frequent hand disinfection), as well as not to participate in the Conference if he knows that he had contact with persons infected with the SARS-CoV-2 virus or similar viruses at least two weeks before the date of the Fair or shows symptoms of infection with the SARS-CoV-2 virus or similar viruses.
The Participant is obliged to comply with all instructions of the Organizer aimed at ensuring safety related to the COVID-19 Pandemic.


§10

Final Provisions

Sending the registration application posted on the Conference website means acceptance of the provisions of these Regulations, as well as compliance with order, fire and other regulations in force at the Event area (Pijalnia Głowna and other buildings in Krynica Zdrój) and any other arrangements made between the Participant and the Organizer.
Any disputes that may arise from participation in the Conference will be settled by the court competent for the seat of the Organizer.
In matters not covered by these Regulations, generally applicable provisions of Polish law shall apply.
Pursuant to the Personal Data Protection Act of August 29, 1997 (Journal of Laws 133 of October 29, 1997, item 833), the Participant consents to the processing of collected personal data by the Organizer. Personal data provided by the Participant is treated as confidential information and is used only for the purposes provided for by the Organizer, subject to the previous provisions.
The Regulations come into force on the day of its publication on the website mediaforumkrynica.pl.
The Organizer has the right to change the provisions of the Regulations. The changes come into force within 24 hours from the date of their publication on the website mediaforumkrynica.pl without the need to inform each Participant separately.
If any of the provisions of these Regulations turn out to be invalid or non-binding, they should be treated as remaining in force and having a valid or binding content closest to and fully emphasizing the will of the Organizer.
